Job Description: Executive Assistant
Location: The Woodlands, TX
Schedule: Typically Monday through Friday working as many hours as necessary to successfully perform the job
Travel: Negligible

 

JOB SUMMARY:
The Executive Assistant is an experienced and polished professional that will support multiple members of the Executive Team with all administrative duties and special projects.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for confidential and time sensitive material
- Compose, edit and proofread correspondence with little or no guidance
- Generate presentations and reports including creating graphs and spreadsheets
- Preparing routine and advanced correspondence including letters, memos, and reports
- Coordinating travel arrangements, both domestic and international
- Facilitating meetings and conference calls
- Maintaining calendars and schedules
- Answering and directing phone calls
- Perform other duties as assigned.

 

EDUCATION AND EXPERIENCE:
- A minimum of 5 years demonstrated experience as an Executive Administrative Assistant supporting upper-level management (assistance of more than one executive is preferred)
- Bilingual in Spanish and English (verbal, reading and writing) is preferred, but not required
- Excellent communication skills as well as a logical thinker
- Professional attitude and self-motivated with proven ability to work in a fast paced environment
- Ability to prioritize, organize, problem solve and meet deadlines and goals
- Must be able to maintain confidentiality

 

COMPUTER OPERATIONS:
- Proficient personal computer skills with good keyboarding, 10-key, electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
- Proficient in MS Word, Excel, PowerPoint & Outlook
- Data analysis and research as needed

 

LANGUAGE SKILLS:
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of organization.

 

MATHMATICAL SKILLS:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY:
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

PLANNING/ORGANIZING:

- Handle multiple tasks simultaneously.



PHYSICAL ACTIVITY LEVEL:

- Light physical activity performing non-strenuous daily activities of an administrative nature.

 

MANUAL DEXTERITY:

- Manual dexterity sufficient to reach/handle items and work with the fingers.
