Job Description: Administrative Assistant

Location               The Woodlands, TX

Objective

The position of Administrative Assistant will perform a variety of administrative and clerical duties necessary to run an organization efficiently. This position will assist senior management in managing, organizing, scheduling and maintaining information.

Regular Job Duties

  1. Utilize MS Word, MS Excel, and MS Outlook to create documents, respond to inquiries and create spreadsheets
  2. Utilize other programs such as SharePoint
  3. Day to day management of user requests and tracking of requests for Document Control software
  4. First level trouble shooting with end user
  5. Create and configure new project sites in SharePoint as required
  6. Assist with training of end users as well as creation of training materials
  7. Assist with job startups for document control
  8. Assist with close out and archival processes
  1. Organize daily documents for department or office
  2. Prepare and maintain electronic and physical files
  3. Maintain a highly organized work area and manage multiple projects simultaneously
  4. Participate in proactive team efforts to achieve departmental and company goals
  5. Provide leadership to others through example and sharing of knowledge/skill
  6. Assist others with additional administrative tasks
  7. Write reports, business correspondence, and project documents
  8. Speak effectively before groups of customers or employees of organization
  9. Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  10. Other unlisted duties will be assigned

Qualifications

  1. Associate's degree is preferred; experience will be considered in lieu of degree
  2. SharePoint and Microsoft Office O365 experience is a plus
  3. Construction Project Administration is considered a plus
  4. Proficient in Excel is a plus (pivot tables, vlookups, etc..)
  5. Ideally 5+ years of experience in an administrative capacity
  6. Ability to communicate in English via verbal and written communications
  7. Moderate to high level of computer skills
  8. Valid driver license for occasional, required travel
  9. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  10. Moderate physical activity performing somewhat strenuous daily activities of a primarily administrative nature. Some exposure to outdoors with changing weather conditions such as rain, sun, snow, and wind
  11. Manual dexterity sufficient to reach/handle items and work with the fingers
