Job Description: Administrative Assistant - Procurement Department


The position of Purchasing Administrative Assistant will make a significant contribution to the projects served by issuing and tracking contracts for multiple projects. This position reports to Procurement Manager.

Job Duties

  1. Process and record Subcontracts and Change Orders using a variety of computer systems.
  2. Prioritize responsibilities for project-specific purchases.
  3. Coordination of agreements from internal approvals through execution.
  4. Tracking and reporting of all project purchases.
  5. Provide assistance to the Procurement Manager and Purchasing Agents.
  6. Adhere to departmental file structure and nomenclature.
  7. Update and maintain office filling, mailing, communications and database systems.
  8. Type, format, proofread, and edit correspondence and other documents.
  9. Assist and cooperate with department staff as necessary in a variety of administrative activities.
  10. Other duties as assigned to enhance the operations of the company.


  1. 3-5 years experience in purchasing and procurement; preferred background in the construction industry.
  2. High level of computer skills in MS Word, MS Excel, MS Outlook, SharePoint, and Access.
  3. Ability to effectively communicate with all levels within the organization and with external vendors/suppliers.
  4. Detail oriented and geared towards being highly productive using a variety of technology tools.
  5. Effective oral and written communication.
  6. Ability to work independently.
